Proofs

For each indicator you need to show that you are really doing what you say with evidence. A lot of the indicators overlap, so you can reuse items several times and it really doesn’t matter. 

My audit was online, so all my evidence was digital. Even if you’re in person, you don’t need hard copies of documents. You can also show screenshots as proofs. 

I created a master Qualiopi spreadsheet (like the one you get with this course) and I linked to all my proofs in there, so that I had everything to hand for the auditor. I didn't show the auditor this spreadsheet, it was for my own reference.

During the audit, he read out the indicator text, and then asked me “what do you want to show me?” At this point, I either explained the process and showed him each proof as they appear in the process, or I just showed him the proofs. For many of the indicators I had prepared more proofs than I actually needed. 

The proofs that I have provided here are just examples or templates that you can use. I have tried to provide as many editable proofs as possible so you can reformat them for your own company. You may need more proofs depending on your situation, the number of programmes that you have and your company profile. 

If you already have clients, I suggest showing real examples of your documents completed by you or by the client. If you don't have clients yet, you can show all your blank documents. 

A note about languages

I told my auditor in advance that a lot of my documents would be in English, and he said that would be ok as long as I could explain them to him. I didn’t translate any documents specifically for the audit: all of my external documents are in French anyway - the programmes, the livret d’accueil - and all of my internal documents, and also any documents I give to the learner once the course has started, are in English.

Your auditor wants to see the reality of your business and your processes, so have your documents in the language that makes sense for you. I use nearly all of the documents I made for Qualiopi, they are not just for show.
